Setting Up Email Rules

This is a follow-up to “Spring Cleaning Your Inbox”. The blog post provides a checklist on how to start the new season in an organized and efficient way.

Setting up email rules can help you automate your email management and keep your inbox organized.  We will show you how to do it with a few popular email clients.

Setting Up Email Rules For Gmail

  1. Open Gmail and go to Settings.
  2. Click on the “Filters and Blocked Addresses” tab.
  3. Click on “Create a new filter”.
  4. In the “From” field, enter the email address or domain that you want to filter.
  5. Choose the actions you want to apply to this filter.  For example, you can choose to move emails from this sender to a specific folder, mark them as important, or automatically apply a label.
  6. Click “Create filter” to save the rule.

Setting Up Email Rules for Outlook

  1. Open Outlook and go to the Home tab.
  2. Click on “Rules” and then “Create Rules”.
  3. Choose the conditions that you want to use for this rule.  For example, you can choose to filter emails from a specific sender, with specific words in the subject line, or with attachments.
  4. Choose the actions you want to apply to this rule.  For example, you can choose to move emails to a specific folder, mark them as read, or forward them to another email address.
  5. Click “OK” to save the rule.

Apple Mail

  1. Open Apple Mail and go to the Mail menu.
  2. Choose “Preferences” and then click on “Rules”.
  3. Click on “Add Rule”.
  4. Choose the conditions that you want to use for this rule.
  5. Choose the actions you want to apply to this rule.
  6. Click “OK” to save the rule.

Keep in mind that the process of setting up email rules may vary slightly depending on the email client you use.  However, most email clients offer similar options for creating rules to automate your email management.
